Job Summary / Duties

Under the general supervision of the Business Systems Analyst Supervisor, this position provides project and business process management coordination for the Information & Educational Technology (IET) Client Success team that will be involved in gathering and documenting requirements specifications for ServiceNow. Will be responsible for the planning of robust out of the box processes that maximize scalability of support, content delivery and platform development.

The position is responsible for participating in complex business and systems functional and non-functional requirements gathering, documentation and analysis, testing, end user support and training and the deployment and on-going administration for the software development cycle for web-based applications like ServiceNow. The position works with multiple cross functional teams and subject matter experts across the UC Davis campus throughout the delivery process of projects, operational goals, and stakeholder enhancement requests. This includes documentation of business process flows, wireframes, user stories, acceptance criteria, testing scripts, knowledge articles and standard operating procedure documentation. Highly effective analytical and communication skills to diverse audiences are essential.

Essential Responsibilities:
50% BUSINESS ANALYSIS & PROCESS DOCUMENTATION

Participate with the Business Process Management team in discovery, analysis, and writing business requirements; examine business processes and activities to perform process optimization, forecasting and system usage monitoring, as dened in the Business Analysis Body of Knowledge (BABOK)
Provide specialized expertise to identify, evaluate, analyze, and document business requirements, use cases, scenarios and stories for ServiceNow system and process initiatives, working with key stakeholders and/or their representatives to understand and document their business needs, problems, and opportunities and achieve operational goals.
Analyze existing systems and program modules, review existing documentation and lead requirements elicitation sessions with clients and subject matter experts, creating relevant meeting agendas, documenting requirements, and publishing clear, concise, and complete meeting notes.
Use methodologies, tools and techniques that represent current business analysis best practices as established by management.
Coordinate with project managers on all aspects of projects assigned to, and specifically user testing and rollout of completed software.
Solicit, translate, and document client needs into specific and detailed requirements using the agile methodology.
Work closely with the development team to translate functional requirements to technical user stories, acceptance criteria, process flow diagrams, wireframes, functional specifications, and any other necessary project documentation.
Communicate technical information in a clear and concise manner to non-technical individuals.
Participate in release activities which include release planning, developing user acceptance testing (QA & UAT) scripts, facilitating customer UAT sessions and postproduction release testing.
Participate in trouble-shooting system issues, determine cause through analytical research and discussion with appropriate staff; ascertain all pertinent facts and recommend the most appropriate course of action, in a timely, knowledgeable manner.

40% APPLICATION SUPPORT & END USER TRAINING

Responsible for keeping current in the industry, including technology changes, trends, and best practices.
Responsible for keeping current with ServiceNow upgrades.
Provide leadership and guidance to improve the Client Services operations.
Work with IT Express supervisors to implement unit goals and priorities. Review existing business processes; streamline and standardize processes.
Assess potential impact of emerging technologies and system upgrades to make recommendations and changes.
Support the implementation and ongoing production support for campus-wide implementation of ServiceNow.
Participate in discussion sessions with users to gather needs and explain existing functionality.
Act as a liaison between technical team and functional users.
Provide Tier 2 level support for operational issues relating to the ServiceNow system.
Test newly deployed code and its interfaces prior to user review to ensure quality of the product. Review test results by examining output data.
Provide end user testing support.
Create QA test plans for acceptance testing of new functionality, work with application development team and project manager in deploying testing protocols in compliance with standard application development methodologies.
Confer with the developers and stakeholders to verify corrections or adjustments.
Work with the team to ensure user testing approvals and production migration.
Other duties as deemed necessary by management.

10% Project Management

Conduct facilitated sessions to document all project tasks, deliverables, and ongoing project services.
Identify issues, which have campus impact or implications.
Develop plans or proposals that include cost benefit analysis, policy, and business process implications.
Conduct group facilitation and individual interviews to identify business requirements and identify issues.
Identify changes to existing business processes and develop appropriate change management plans.

Qualifications:

Minimum Qualifications

Advanced Experience with Remedy, Cherwell, and/or ServiceNow systems.
Advanced experience in and ability to absorb and synthesize complex technical and conceptual information and dynamically present understandable alternatives, both orally and in writing, to individuals of varying technical expertise at all levels of the organization.
Advanced experience using Agile methods, concepts, and theories to solve problems, classify and organize data, deconstruct components, combine and relating knowledge from several areas to reach a preferred outcome.
Advanced experience applying and facilitating business analysis procedures, functions, and techniques i.e., use cases, mind mapping, story boarding, etc. as a business or systems analyst participating in large scale systems projects.
Experience with ITIL and its application to the BRM function.
Experience in leading projects with Agile/Scrum project management methodology using prescribed conditions, budgets, and allocated resources. Knowledge of the project management cycle and coordination of resources, time, and staff.
Experience in streamlining and standardizing processes and practices according to ITIL and assessing potential impact of emerging technologies and proposing recommendations and changes.
Experience eliciting, documenting user requirements, and creating business requirements documents.
Experience assimilating complex technical concepts, terms and material and explaining it to non-technical clients.
Experience to clearly communicate complex technical issues verbally and in writing to technical and non-technical audiences; extensive interpersonal and verbal skills to effectively communicate with tact and diplomacy to a wide range of faculty, staff, and students both within and outside the University.
Thorough knowledge of business intelligence functions, analytics, industry standards, and best practices
Experience to establish goals and priorities; streamline and standardize processes and practices according to ITIL and assess potential impact of emerging technologies and make recommendations and changes.
Experience researching, understanding, and interpreting technical standards and specifications.
Experience in learning and applying modern technology rapidly.
Experience to estimate task requirements and complete assignments autonomously and on schedule.

Preferred Qualifications

Experience in assessing software behavior during testing and subsequent problem tracking.
Experience with usability accessibility and user and performance testing.
Experience applying analytical, problem-solving, and decision-making skills to ascertain relevant from irrelevant data and separate vital factors from less important ones and make creative solutions to complex problems.
Experience applying innovative solutions, developing recommendations and alternative courses of actions to complex problems, and making decisions and acting based on available information.
Experience working in a fast-paced environment, estimating task requirements, and completing assignments thoroughly, accurately autonomously and on schedule.
Demonstrated organizational skills to coordinate several simultaneous activities in a dynamic work environment with frequent changes of work priorities, scope, and schedules.
