Position : Oracle ERP PMO Support Admin Location : Hybrid ALSIP, IL Duration: Long Term Contract. Visa: Only USC/GC/EAD Interview: Video Job Description: Assist the project manager and team in coordinating day-to-day project tasks and activities, ensuring that the project is progressing according to plan. Maintain and update project documentation, including status reports, project plans, risk and issue logs, and other related materials. Track project milestones, deliverables, and action items, ensuring timely completion and follow-up with responsible stakeholders. Manage the scheduling of meetings, workshops, and presentations, ensuring that agendas, materials, and logistics are well-organized. Prepare and distribute meeting minutes, project updates, and stakeholder communications in a timely and clear manner. Prepare and circulate project communications, including meeting minutes, project updates, and stakeholder newsletters. Provide ongoing administrative support to the project team, ensuring seamless communication and clarity across teams and stakeholders. Assist with budget tracking and resource management, working closely with finance and the project manager to ensure accurate tracking and reporting of project costs and resource utilization. Help manage project-related expenditures, tracking vendor and contractor costs and ensuring alignment with project budget. Ensure compliance with project governance standards, including the use of established templates, methodologies, and best practices defined by the PMO. Provide support to ensure that project documentation, deliverables, and reporting meet required standards. Act as a liaison with third-party vendors, system integrators (SIs), and contractors to support scheduling, performance tracking, and alignment with project objectives. Assist in vendor management activities, including tracking deliverables, ensuring that timelines are met, and ensuring vendors adhere to project requirements and quality standards. Collaborate with cross-functional teams, acting as a liaison between project teams and the PMO to ensure proper alignment and seamless communication throughout the project lifecycle. Support the project team in resolving issues and managing risks, ensuring that project goals are achieved. Requirements: 3+ years of experience in project coordination, administration, or PMO support roles, ideally within an IT or ERP project environment. Experience in supporting ERP implementation or technology-related projects is preferred. Strong organizational and multitasking abilities, with a keen eye for detail and the ability to prioritize tasks effectively. Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word), as well as project management tools (e.g., Microsoft Project, PMO365, or similar tools). Effective written and verbal communication skills, with the ability to communicate clearly and collaborate across teams and stakeholders. Strong understanding of project management principles, methodologies, and best practices (e.g., Agile, Waterfall). Experience coordinating with third-party vendors, system integrators, or contractors, and tracking deliverables against project requirements and timelines. Certification in project management (e.g., PMP, PRINCE2) or related field would be an advantage. Experience with ERP systems, particularly Oracle, would be beneficial. Thanks and Regards MD.
